Managing Passwords

How to Reset Client Passwords

Case Managers have two methods available for resetting client passwords: 
Method 1: From Client Profile 
  1. Navigate to the client's profile page 
  2. Locate the "Client Profile" dropdown menu 
  3. Select "Generate Temporary Password" 
  4. Click "Generate Temporary Password" to confirm 
System displays: 
  1. Generated temporary password (with copy button) 
  2. Email address associated with the account (with copy button) 
Method 2: From Client List 
  1. Navigate to the main client list 
  2. Locate the desired client 
  3. Click the "Actions" dropdown next to their name 
  4. Select "Generate Temporary Password" 
Alert
Confirm that the user is not able to login before resetting password. This will kick the user out of their account if they're currently logged in.

Warning
 IMPORTANT: Temporary Password Behavior 
  1. Temporary passwords do not expire automatically 
  2. Password remains valid until the client manually changes it 
  3. Client is logged out immediately when the new password is generated 
  4. Recommend clients change password after receiving a temporary password 

Client Self-Service Password Reset 

From GTM Forms Login Page: 
  1. Navigate to gtmforms.com 
  2. Click the "Login" button 
  3. Click "Reset Password" 
  4. Enter your email address 
  5. Click "Reset" 
  6. Check your email for the password reset link 
  7. Click the link in the email 
  8. You'll be directed back to GTM Forms 
  9. Enter your new password (must meet requirements) 
  10. Confirm your new password 
  11. Click submit 
  12. Confirmation displays: "Password Reset Successful" 

From Azure Form: 

Password reset functionality is also accessible through the Azure authentication form, which may appear depending on organization configuration. 

Password Requirements 

All passwords must meet these security requirements: 
  1. Minimum length: 8 characters 
  2. Uppercase requirement: At least one uppercase letter (A-Z) 
  3. Number requirement: At least one number (0-9) 
  4. Special character requirement: At least one special character (!, @, #, $, %, etc.) 
  5. Matching requirement: Password and confirmation must match exactly

Valid password example: MyPass123! 
--Do not use this Password--

Invalid password examples: 

  1. "password" (no uppercase, no number, no special character) 
  2. "PASSWORD123" (no special character) 
  3. "MyPassword!" (no number) 
  4. "MyPass123" (no special character) 
Idea
Password Best Practices 
  1. Change passwords regularly (recommended annually at minimum) 
  2. Don't share passwords with others 
  3. Use unique passwords for GTM Forms (don't reuse passwords from other systems) 
  4. Store passwords securely 
  5. Change temporary passwords immediately after receiving them
  6. Use random password generators like LastPass
